Your tools stack

Tool obsession is the most respectable form of procrastination in this industry. Here is the entire stack a lean agency needs. Everything on this list earns its place; anything not on it can wait until a client is paying for it.

The core (day one)

  • The platform (free): client management, requests, the client portal, reporting, forms, invoicing. This is your agency's operating system and your client's window into your work.
  • An AI agent: Claude Code or an equivalent coding agent, connected to the platform. This is your production department. Module 7 walks through the connection.
  • A domain and professional email for your agency. Nobody signs a four-figure deal with a gmail address.
  • A scheduler: any booking-link tool so prospects can grab time without email tennis.
  • Stripe: the payment rails under the platform's invoicing.

The sales layer (week one)

  • A place to track your pipeline. Start with the platform's leads view or a simple sheet: name, stage, next action, date.
  • A screen recorder for teardown and proposal videos. Loom or any equivalent.
  • Your outreach channel of choice: your existing email account is fine to start. Do not buy sending infrastructure before you have sent a hundred manual messages.

What you deliberately do not need

  • A CRM subscription, a project-management suite, a proposal tool, a form tool, a reporting tool. The platform covers all five.
  • Design software. You are not designing. Your agent works from a proven boilerplate, and the studio has its own designers.
  • A website builder subscription. Client sites live on the boilerplate stack, deployed properly, owned by you.
Total fixed cost to run this agency: your domain, your email, and optionally a scheduler. Everything else is free or scales with revenue. Protect that cost structure. It is your moat against every bloated agency you compete with.

One rule going forward: you may add a tool only when a specific, recurring task demands it, never because a YouTube video said you need it. Lean is not a phase you grow out of. It is the model.
