Invoicing hygiene

Unpaid invoices are not a finance problem; they are a systems problem. Agencies that get paid late are almost always agencies that invoice late, vaguely, or apologetically. Hygiene is a set of small rules, applied every time, that make paying you the easiest thing on a client's desk.

The rules

  • Invoice at the moment of yes: deposit invoice the minute the deal closes (Module 6), balance invoice the day of launch, plans billed automatically on the first. Never "I will get you the invoice next week." Money follows momentum.
  • Card or bank payment on every invoice, one click, through the platform. Every extra step between "I should pay this" and "paid" costs you days.
  • Recurring plans are auto-billed on saved payment details, set up at onboarding (Module 8), not chased monthly like it is 2009.
  • Clear line items in client language: "Website care plan, March" not "services rendered." Confusion is the most common honest reason invoices stall.
  • Deposits before work, balances before the domain flips (Module 8's launch leverage). Structural leverage beats awkward reminders.

When someone is late anyway

It happens: cards expire, owners travel, bookkeepers change. Assume the innocent explanation, escalate on a fixed schedule, and let the system be the bad cop.

Copy / script

Day 3: automatic reminder from the platform. You do nothing.

Day 7, personal note: "Hey Mike, the March invoice looks like it slipped through, probably the card. Link is here, takes a minute: [link]"

Day 14, direct and warm: "Mike, flagging the invoice is two weeks out. Want me to update the card on file? Also a heads-up that requests pause at day 21 until we are current, so let us not get there."

Day 21: pause the plan work, kindly, as stated. "Paused things for now, everything resumes the moment we are current. No drama, just how I keep the lights on for everyone."

Notice what is absent: anger, apology, and improvisation. The schedule was stated, the schedule is followed, the relationship survives. Clients respect a business that runs like one, and the ones who do not were already flagged by Module 6's qualification.

The five-minute weekly check

Once a week, glance at the receivables view: what is out, what is late, what is stuck. Anything past day 7 gets its scripted touch today. Five minutes. The agencies with cash-flow crises are not unlucky; they are unlooked.
