By client five, the details blur: who insisted the founder photo stays, who hates the word "cheap," what you promised whom on which call. The fix is a boring, powerful habit: one context home per client, everything in it, and your agent connected to it.
The structure (one folder per client)
- Facts: the intake form, the exact business details, access notes. The stuff delivery must never guess.
- Assets: logo, photos, brand rules. One place, current versions only.
- Decisions and quirks: the running list of preferences and rulings. "Owner approves all homepage changes personally. Never use stock photos of crews."
- Meeting notes: every call summarized: what was said, what was promised, what is next. AI note-takers make this nearly free; the discipline is filing it, not writing it.
- History: proposals sent, reports sent, what was upsold when.
Connect your agent to it
Here is where it compounds: point your agent at the client folder, and it reads the context before doing that client's work. The request says "update the services page"; the context says the owner refuses to list pricing and the last call promised the new drone photos would be used. The agent knows both. This is the difference between an agent that executes tasks and an agent that behaves like it has been on the account for a year.
Why not a fancy tool
A folder structure (or a simple Notion/Drive setup) beats specialized software here because it is portable, agent-readable, and free. The platform holds the operational record (requests, forms, reports, invoices); the context folder holds the relationship record. Between them, nothing lives only in your head, which is the whole point.
